Procurement

At Creekstone Montessori School, we take great care to use public funds responsibly and in ways that directly support our students’ learning. The School follows clear procedures when buying supplies, equipment, or services so that spending is transparent, fair, and cost-effective.

How We Make Responsible Purchases

  • We compare prices, get quotes, or use competitive bids to make sure the School is getting the best value.

  • All purchases must support our educational mission—nothing can benefit a private individual.

  • Staff cannot make purchases on behalf of the School without approval.

  • Purchases over certain amounts require multiple quotes or formal bids, as required by Minnesota law and federal funding rules.

  • All contracts and major purchases must be approved by the School Board.

How We Use Federal Charter School Program (CSP) Funds
When we use federal CSP funds, the rules are even stricter. We must:

  • Keep detailed records of why we chose a vendor

  • Show that we compared prices or obtained quotes

  • Follow federal spending thresholds (for example: getting quotes for purchases over $10,000 and formal bids for purchases over $100,000)

  • Ensure open, fair competition so any qualified vendor has a chance to work with the School

Paying Vendors

The School pays vendors only after we receive and inspect goods or services. We check that everything matches what was ordered before payment is approved.

Construction or Large Projects

For construction projects paid for with grant funds, we follow Minnesota’s prevailing wage laws to ensure workers are paid fairly.

Why This Matters
These procedures help us:

  • Protect public funds
  • Keep our operations transparent and accountable
  • Make sure resources go directly toward quality education for our students
  • Maintain trust with families, the community, and funders

If families ever have questions about how the School spends public funds, they are welcome to contact the Business Manager or attend any public meeting of the Board of Directors.
